payroll
Payroll is the system a company uses to work out and pay staff salaries, taxes and deductions, on the same date, every single month.
In plain English
It is the 25th of the month and the office WhatsApp group has gone unusually calm, because everyone is refreshing their bank app instead of typing. Somewhere in Lagos, an HR officer called Chidinma is running the last check on a spreadsheet before she clicks a button that will move money into forty three different accounts at once.
That button is payroll. It is more than the salary alert that lands in your account. It is the whole engine behind it, the process that calculates each person's pay, subtracts PAYE tax and pension, adds any overtime, and produces a payslip that explains where every naira went.
A Nigerian example makes it real. Tunde earns ₦350,000 a month at a Lagos firm. Payroll is what deducts his pension contribution, deducts his tax under PAYE, and pays the net amount into his account, while calmly sending his tax portion to the state tax authority and his pension portion to his PFA.
In the United Kingdom, payroll works similarly but the deductions have different names, PAYE income tax and National Insurance instead of pension and Nigerian PAYE, yet the idea is identical, the employer calculates and remits before the worker ever sees the money.
For someone abroad sending money home, payroll matters too, because it decides exactly how much lands in their own account each month before they even think about what to send to family in Nigeria.
Payroll can be run by an in house HR team, an accountant, or specialist software, but whoever runs it carries a serious responsibility, because a mistake there means someone's rent or school fees payment is late through no fault of their own.
Ngozi's gross salary is ₦500,000. Payroll deducts ₦40,000 for pension and ₦35,000 for PAYE tax, then pays her a net salary of ₦425,000 directly into her account, alongside a payslip showing the full breakdown.
Questions people ask
Why did my salary come in lower than my agreed pay?
Your agreed pay is usually the gross figure. Payroll removes pension, tax and sometimes other deductions like a loan repayment before paying you the net amount, so always check your payslip to see the full breakdown rather than just the final figure.
What happens if payroll makes a mistake?
You should raise it with HR or the payroll officer immediately, with your payslip as evidence. Genuine errors are usually corrected in the next pay cycle or through a separate bank transfer, so keep records and follow up politely but firmly.
Does a small business need proper payroll if it only has a few staff?
Yes, because tax and pension obligations apply regardless of company size in Nigeria. Even with two or three staff, running proper payroll protects both the employer and employees from penalties and disputes over pay.
